By booking this appointment, you agree to the following Terms & Conditions of Service: Client Notification: Real Estate Sales Representatives and Brokers must inform their clients of our arrival and departure.
Additional Services: Any additional on-site service or product requests must be made by calling 1-877-268-2924. We will attempt to accommodate, but additional requests may result in extra site visits, fees, and may not be fulfilled due to scheduling constraints.
Third-Party Payment Responsibility: The account holder (client who books the service) is solely responsible for payment, regardless of any arrangements made with third parties. If a third party (such as the property owner or another client) is expected to pay, the original account holder remains liable for the full amount. OTBx Air will not pursue payment from third parties, and any disputes regarding payment must be resolved between the account holder and their client. No exceptions will be made.
Special Requirements: Any special requirements or requests must be provided at least 24 hours in advance. Failure to do so may result in delays and additional fees.
Weather, Arrival Times, and Traffic Delays: Arrival times may vary due to weather or traffic conditions. In extreme weather, we will notify you of any changes.
Liability for Misrepresentation: OTBx Air photographers and editors are not liable for misrepresentation disputes. Real Estate Representatives or Brokers should document any modifications requested by clients. OTBx Air photographers and editors are not liable for any misrepresentation disputes related to visual content. Real Estate Representatives and Brokers are responsible for ensuring the accuracy of all images and should document any requested modifications or editing changes made on behalf of their clients. Any requests for edits should be clearly communicated and reviewed prior to final approval.
Payment Terms: Payment is accepted via Visa, Mastercard, AMEX, or e-transfer. Full payment is required before content is released unless prior arrangements have been made.
Pre-Pay & Save Policy: All pre-pay and save purchases are non-refundable. No exceptions.
Service Interruptions: Scheduled maintenance and unforeseen disruptions may occur. Clients agree to these potential interruptions. Report outages or new information by calling 1-877-268-2924.
COVID-19 Protocol: Inform us of any known COVID-19 cases, exposures, or symptoms at the property within the past 5 days. Ensure the property is cleaned and disinfected before our arrival.
Cancellation Fees: Cancellations: Cancellations made with less than 24 hours’ notice will incur a fee of $100 or 10% of the order total (whichever is greater).
Weather-Related & Sunny Day Rescheduling: Agents must monitor the weather and reschedule at least 24 hours in advance if a sunny day is required. Weather-related cancellations also require 24-hour notice (by 2 PM Saturday for Monday appointments) to avoid a $100 + tax cancellation fee.
Media Days & Conferences: Cancellations are subject to a 10% fee and require a minimum of 24 hours’ notice. For Monday appointments, notice must be given by 2 PM on Saturday.
Additional Fees: Property Preparation, Wait Time & Additional Visits: The property must be fully prepared before our arrival, including tasks like turning on lights, opening blinds, lowering toilet seats, hiding garbage cans, and putting away personal belongings. OTBx staff cannot move personal items or furniture. If the property is not ready or access is delayed, and the team waits beyond the 15-minute grace period, a $50 + tax fee will apply, billed in half-hour increments. If the photographer needs to return to complete the shoot due to extended wait time, an additional $100 + tax site visit fee will apply. This applies if the photographer has another scheduled shoot and cannot finish the current one in the allotted time. Wait fees will also be charged. Additional Site Visits: A minimum of $100 + tax per visit applies for requests to return for different angles or additional shots that were not specified during the original shoot.
Same-Day Booking: A $100 + tax fee applies for same-day requests. We’ll try to accommodate, but availability is not guaranteed.
Rush Fees: $100 + tax per rush service (available for photos only). Requests must be made at least 24 hours in advance. We may not always be able to accommodate same-day rush.
Editing, Revisions & Additional Requests Editing Requests for Weekend Submissions: Request for edits received on Saturdays will be returned on Monday or Tuesday, depending on complexity.
Agent Intros/Outros Included in Video Packages: Includes 15 seconds of edited footage. Contact support for walkthrough introductions.
Agent introductions and outros are included in some of our video packages, with a maximum of 15 seconds of edited footage. Shooting time is limited to 15 minutes. For walkthrough introductions, please contact support for additional details.
Video Revisions: One revision is included. Additional revisions are billed at $150 + tax per revision.
Matterport/Hosting: Hosted for 90 days. Extensions: 6 months ($60 + tax) or 1 year ($100 + tax).
Floor Plans: For advertising purposes only. Measurements deemed highly reliable but not guaranteed. One revision included; additional revisions are billed at $99 + tax. Floorplans are ordered in Imperial Measurements unless requested otherwise at booking.
Customized Floor Plans: $50 + tax for custom logos, fonts, etc. Completion takes 24-48 hours; changes must be sent via email.

Severe Weather Conditions
Arrival times may vary due to seasonal weather conditions. While we do our best to remain on schedule, the safety of our service providers is a top priority. If road conditions are unsafe, there may be delays or cancellations for scheduled photography appointments. We will notify you of any changes as soon as possible. If we need to reschedule your appointment, we’ll work with you to find the next available time that suits your needs.
Sunny Day Request: To cancel or reschedule an appointment, we require at least 24 hours’ notice to avoid a cancellation fee. Our photographers proceed with shoots rain or shine, as long as weather conditions allow them to do so safely. If you’re aiming for a sunny-day shoot, we kindly ask that you monitor the forecast and contact us at least 24 hours in advance to reschedule.
Property Preparation: The property must be fully prepared prior to our estimated arrival. This includes all lights on, blinds/curtains open, toilet seats down, garbage cans hidden (interior and exterior), and personal belongings put away. OTBx staff are not able to move personal items belonging to homeowners.
Service Interruptions Scheduled service interruptions for system maintenance and unforeseen events like weather, system damage, or accidents may occur. Clients agree to these possible service interruptions. Report any outages not listed on our website by calling 1-877-268-2924.
Custom Requests
Any custom requests must be communicated and agreed upon before the scheduled shoot. We appreciate your cooperation in adhering to these terms to ensure a smooth and efficient service experience.
